STATUS: Full-Time (40 hrs/wk), Non-Exempt

SALARY RANGE: $31.25 - $37.25 per hour

LOCATION: Hybrid (San Francisco/Remote)

ABOUT THE POSITION

The California Housing Partnership is seeking a dynamic and detail-oriented Operations Associate to enhance our five-member Operations team. This pivotal role reports directly to the Operations Manager and operates in a hybrid setting, based out of our San Francisco headquarters with the flexibility to work remotely from home up to four days per week.

As an Operations Associate, you will play a crucial role in ensuring the success of our business operations. We are looking for a personable individual who enjoys fostering positive interactions and working collaboratively with others throughout the organization to get things done. The person in this role must also have meticulous attention to detail, proactive problem-solving skills, strong verbal and written communication abilities, and be tech-savvy. 

BASIC DUTIES & RESPONSIBILITIES
  • Office Management & General Administration (35%):
    • Handling employee queries received via the operations email.
    • Coordinating staff lunches on a weekly basis and managing logistics for special office events.
    • Ensuring the San Francisco office is well-maintained, organized, and stocked with general supplies.
    • Processing conference and event registrations, accommodations, and travel arrangements as requested.
    • Assisting with team building activities, staff retreats, hiring processes, onboarding, and orientation.
  • Contract Management (35%):
    • Assisting with the organization’s contract administration using Salesforce and DocuSign.
    • Liaising with clients and staff to track and ensure the execution of service contracts.
  • Communications (20%):
    • Supporting webinars, managing ticketing portal and calendar invites.
    • Using Constant Contact for mail distribution and contact list maintenance.
    • Updating the organization’s website via WordPress and employee information portal via SharePoint as directed.
    • Handling general queries received via the info email.
  • Information Technology (10%):
    • Managing the setup and disposal of company laptops, maintaining inventory.
    • Processing routine purchases and service of computer hardware and software.
    • Overseeing office maintenance requests, managing telecommunications, and troubleshooting technology issues as needed.
  • Special projects and other duties as assigned by the Operations Manager and/or Managing Director of Operations.
QUALIFICATIONS & EXPERIENCE

  • At least two (2) years supporting an office environment in administration or operations
    • bachelors degree or certification in a related area of focus may substitute for one year of work experience.
  • Self-motivated and resourceful, with a strong sense of accountability.
  • Ability to use sound judgement and analytical skills to navigate complex situations.
  • Exceptional attention to detail.
  • Excellent interpersonal skills.
  • Proficiency with Mac computers, Microsoft Office and G Suite.
  • Intermediate experience with Salesforce and/or DocuSign required.
  • Intermediate experience using Asana for task management required.
  • Experience using WordPress, SharePoint and/or Constant Contact is a plus. 
  • Ability and willingness to contribute to the Partnership’s mission and commitment to diversity, equity, and inclusion.
  • Valid drivers license and comfort driving.
  • Authorized to work in the United States.
  • Able and willing to travel to other California offices up to four times per year.

COMPENSATION

The Partnership provides annual performance-based raises and maintains competitive salary ranges. Compensation for all permanent employees working 20 or more hours per week includes a robust benefits package of 100% employer-paid health, dental, vision, chiropractic/acupuncture, transit subsidy, cellphone reimbursement, health reimbursement account, employee assistance plan, and employer contributions to 403(b) retirement plan.
